How-to: Updating and saving documents using Synergy Office Integration

Introduction

Synergy Office Integration allows you to update and save Microsoft documents such as Microsoft Word documents, Microsoft Excel spreadsheets and Microsoft PowerPoint presentations to Exact Synergy Enterprise.

You can save documents that you have edited to Exact Synergy Enterprise. Along with saving the document, there are other operations that can be carried out at the same time such as creating a request while saving the document and saving the document in Draft mode.

The following options are available when updating and saving documents:

  • Saving a document with one click – This is a convenient way to quickly save your document according to predefined criteria instead of having to define them again.
  • Saving a document – This is used when you need to select the appropriate criteria when saving a document.
  • Creating a request when saving a document – This is used when you need to create a request that is linked to the document. This is useful, for instance, when you need to inform someone of the availability of the document.
  • Saving a document in Draft mode – This is used when you want to maintain the document in Draft mode after it has been saved to Exact Synergy Enterprise.

How do I save a Microsoft Word, Excel, or PowerPoint document with one click?


  1. Click Save in the Home menu bar. The following screen displays an example of the button in Microsoft Word:

     
  1. The document will be saved according to the settings specified in the Synergy Office Integration tab at System à Setup à Settings – General à Preferences. This includes blank fields that have been saved. If no settings were saved here, the settings in the Corporate (Synergy Office Integration) tab will be used instead.

Keep in mind:

  • If the document has been saved previously in your computer, the Subject field of the document will follow the saved file name. Otherwise, Synergy Office Integration will use Microsoft Office’s resident logic in determining file names for the Subject field.
  • If any mandatory fields are not prefilled, the Save as screen will appear.

How do I save as a Microsoft Word, Excel, or PowerPoint document?


  1. Click the Save drop down menu in the Home menu bar and select Save as. The following screen displays an example of the button in Microsoft Word:

     

  1. The Save as window will pop up. An example of this is shown as follows:

  1. Fill in the relevant criteria and click Save to save the document to Exact Synergy Enterprise. Mandatory fields are denoted by a red *. Click  to expand each section.

Keep in mind:

  • For existing documents, you can select to Overwrite, Create new, or New version. The document type attributes will be changed according to the selected option.
  • The Save as field is available in Microsoft Word only. For Microsoft Excel and PowerPoint, the document will always be saved as an attachment.
  • If the document is an e-mail from Microsoft Outlook, it can be saved as a new document only.
  • The Version field is available only if the selected document type allows versioning and the versioning format is User-defined.
  • The Corporate tags and Tags fields are available only if the selected document type allows tagging.
  • All existing security and access right checks, check in/check out, and versioning functions are applicable.

How do I create a request when saving a Microsoft Word, Excel, or PowerPoint document?


  1. Click the Save drop-down menu in the Home menu bar and select Save as.
  2. Select the Follow-up via request check box in the Save as window.
  3. When you click Save or Draft, the request creation screen will pop up. Follow the normal process to create a request linked to the document.

How do I save a Microsoft Word, Excel, or PowerPoint document in draft mode?


  1. Click the Save drop-down menu in the Home menu bar and select Save as.
  2. Fill in the relevant criteria.
  3. Click Draft.
